DataFlow Verification Process: Documents, Costs, Timeline

You are currently viewing DataFlow Verification Process: Documents, Costs, Timeline

DataFlow Verification is one of the most important steps for healthcare professionals planning to work in Gulf countries such as the UAE, Saudi Arabia, Qatar, Oman, or Bahrain. Before obtaining a professional license from authorities like DHA, MOH, HAAD, or other Prometric licensing bodies, candidates must complete Primary Source Verification (PSV) through DataFlow.

DataFlow verification Process is one of the most confusing, frustrating, and expensive parts of getting licensed to work in the Gulf — and most guides don’t tell you the full story. This one does whether you’re applying for DHA in Dubai, SCFHS in Saudi Arabia, OMSB in Oman, or QCHP in Qatar.

This guide covers the complete DataFlow verification process from start to finish — including the real fees, the actual timelines, the hidden costs most people discover too late, and practical tips from someone who has been through it and helped hundreds of healthcare professionals do the same.

Many professionals find it confusing to understand how these two processes are connected and which one should be completed first. This guide clarifies the steps and helps you navigate both requirements with confidence.

I’ve been through this process myself and helped hundreds of healthcare professionals navigate this maze. I’m going to break down everything you need to know about DataFlow verification for your exam registration, including the real experiences that nobody talks about.

What Exactly is DataFlow Verification?

DataFlow Group is a third-party verification company mandated by the Gulf health authorities to verify your educational and professional credentials.

Their role is to independently confirm your qualifications are authentic by directly contacting your university, previous employers, and licensing boards. The concept of primary source verification is solid and necessary for maintaining healthcare standards

Do You Actually Need DataFlow for PROMETRIC or Pearson VUE?

Here’s where it gets confusing because each Gulf country has different requirements. Let me break it down clearly:

Oman (OMSB) and Qatar

You can schedule your licensing exam without completing DataFlow verification first. The exam registration doesn’t require DataFlow upfront, which gives you more flexibility in planning.

Important for Oman (OMSB): When applying to the Oman Medical Speciality Board (OMSB), you’ll need to upload an updated resume along with your other documents. Make sure your CV includes all recent experience, qualifications and is properly formatted according to OMSB requirements.

Dubai and Bahrain

You need an eligibility number to schedule your exam. Here’s how it works:

For Dubai (DHA):

  1. Register on the Dubai Health Authority (DHA) website
  2. Generate your eligibility number through their portal
  3. DataFlow verification is NOT mandatory to get this eligibility number
  4. You can schedule your exam even without completing DataFlow

For Bahrain (NHRA):

  1. Register on the National Health Regulatory Authority (NHRA) Bahrain website
  2. Generate your eligibility number for exam scheduling
  3. Similar to Dubai, you can proceed with exam registration
  4. DataFlow can be completed in parallel to your exam preparation

However, you’ll eventually need DataFlow for your final licensing in both countries, so don’t skip it entirely.

Saudi Arabia (SCFHS)

This is where DataFlow becomes mandatory before exam scheduling:

  1. You must complete DataFlow verification first
  2. After receiving your DataFlow report, register on the SCFHS portal.
  3. Upload the DataFlow report and submit other required details like education, experience, and registration information to generate your eligibility number.
  4. You are required to pay the necessary fees to obtain your eligibility number.
  5. Only then can you schedule your PROMETRIC exam.

So for Saudi Arabia, there’s no way around it—DataFlow must be done before you can even book your exam slot.

Kuwait

The Kuwait Ministry of Health (MOH) requires DataFlow verification before you can proceed with medical licensing and PROMETRIC exam registration. Without a positive DataFlow report, you cannot legally practice medicine in Kuwait. It’s mandatory, no exceptions.

Step-by-Step: DataFlow Verification Process for Your Licensing Exam

Step 1: Gather All Required Documents

Prepare the following documents carefully before starting your DataFlow application:

Educational Documents:

  1. Original degree certificates
  2. Transcripts
  3. Year-wise marksheets
  4. Any postgraduate qualifications

Professional Documents:

  1. Experience certificates from all employers that require verification
  2. Certificates should clearly state the employer name, address, start and end dates, and job roles
  3. For your current employer, it must indicate you are “currently working” or “presently employed”
  4. Professional registration/license from your home country (must be active), If expired, upload both the original and renewal copies
  5. Good standing certificate (issued by your licensing authority or medical council) confirming your license is valid and free from disciplinary action. Usually required only for DHA and HAAD licenses

Personal Documents:

  • Passport copies
  • Passport-size photographs
  • National ID or birth certificate
  • Updated CV/Resume (especially important for OMSB Oman applications)

Typically, all the above documents are required. If additional documents are needed, you will be notified via email and on your DataFlow status page. Keep monitoring both regularly.

Important: Check the required minimum work experience before applying—usually at least 2 years for bachelor’s degree holders and 3 years for specialists.

Step 2: Register on the DataFlow Portal

  1. Visit the DataFlow Group website and select your target Gulf country and the specific health authority you’re applying to.
  2. You will be redirected to the relevant portal where you must create an account.
  3. Choose a verification package based on your profession (e.g., GP/Dentist vs Nurse/Allied Health). Make sure the package covers all your documents; otherwise, budget for extra document fees.

Step 3: Submit Application and Make Payment

  1. Upload the collected documents and complete the payment process.
  2. After submission, you will receive a case number. Save this carefully—you’ll need it to track your application status.

Step 4: Track Your Application Status

  1. Check your verification progress anytime on the DataFlow status page by entering your:
  • Case number
  • Passport number

Step 5: Wait Patiently (The Challenging Part)

  • DataFlow will contact your university and employers to verify your credentials. Sometimes, if your university has an online system, you may be asked to complete some steps yourself.
  • In many cases, if responses are delayed, DataFlow waits rather than performing physical follow-ups, causing frustrations and delays.
  • Note that there is no refund policy if verifications take longer than 30-40 days.

Step 6: Receive and Download Your DataFlow Report

  • Once verification is completed, you will receive your Primary Source Verification (PSV) report.

Downloading Your Report (Free for First 90 Days):

  • Go to www.dataflowstatus.com
  • Enter your DataFlow Case Number (or Client Reference Number) and passport number
  • Download your report

Opening the Report:

  • Your report is password-protected. The password is your Date of Birth in DDMMYYYY format (no spaces).
  • Example: DOB 14 February 2020 → Password: 14022020

After 90 Days:

  • To download the report beyond the free 90-day period, you will be redirected to TrueProfile.io
  • Register on TrueProfile to access older reports
  • A small download fee applies (approximately ₹3,000-4,000 or $40 USD)

Important Tips:

  • Download your report as soon as it’s ready
  • Save multiple digital copies (on your computer, cloud, and email)
  • Print 2-3 physical copies for official submissions
  • Don’t wait until the 90-day free download period ends—plan accordingly
  • This report is essential for your exam registration and licensing, so handle it with care

The Real Timeline: How Long Does This Actually Take?

Let’s be completely honest based on real-world experience.

  • Standard DataFlow processing time: About 25 days, provided everything goes perfectly.

  • Realistic timeline: Around 2 months or even longer, especially if your university follows a complex verification process or responds slowly.

In most real cases, completing the verification within the promised timeline is uncommon. You are fortunate if it gets completed on time. Typically, the process takes around 40 to 60 days, and in some instances, it can extend to more than three months.

The Main Reasons Behind DataFlow Delays

1. Indian Government Universities Are the Worst Offenders

If your degree is from an Indian government university — especially in states like Uttar Pradesh, Bihar or Rajasthan — prepare for significant delays. Unlike private universities and established medical colleges that have dedicated verification teams and online systems, most Indian government universities rely on manual processes, overworked administrative staff and physical paperwork.

We have seen this firsthand with our clients. One of the worst cases involved Dr Bhimrao Ambedkar University, Agra, where a client’s degree verification took nearly 3 full months. DataFlow’s emails went unanswered for weeks. Follow-up requests disappeared into the university’s administration. Our client had already booked their exam slot and was forced to reschedule, paying additional fees and losing months of career progression.

This is not an isolated experience. Several North Indian government universities consistently cause delays because:

  • No dedicated verification team — requests go to general administration
  • Manual paper-based systems with no online verification portal
  • High volume of requests handled by minimal staff
  • No accountability for response time
  • Universities now charge ₹3,000 to ₹5,000 per degree just to verify — even central government institutions

What to do: Contact your university registrar directly before DataFlow reaches out. If possible, visit in person — a physical visit moves things dramatically faster than emails ever will.

2. Lesser-Known Employers and Small Hospitals

Small private hospitals, clinics, self-employed professionals and employers without a proper HR department are the second biggest cause of delays. When DataFlow sends a verification request to an employer with no dedicated team to handle it, responses can take weeks or never arrive at all.

The situation becomes even more complicated if your previous employer has closed down, merged with another institution, or the contact person has changed. In these cases, DataFlow faces genuine difficulty completing verification.

What to do: Contact your previous employers before submitting your DataFlow application. Warn them that a verification request is coming and provide DataFlow with direct contact details for the right person — not just a general email address.

3. Heightened Scrutiny for Non-Reputed Institutions

When your university or employer is not widely recognised — a small regional college, a lesser-known hospital, or a clinic without an online presence — DataFlow applies additional scrutiny to prevent fraud. This means more verification steps, more time and more potential for delays at each stage.

Established institutions like AIIMS, major private medical colleges and large hospital chains typically process verifications faster, precisely because DataFlow already has established verification channels with them. Lesser-known institutions have no such existing relationship — every step takes longer.

4. DataFlow’s Passive Follow-Up Approach

This is perhaps the most frustrating cause of delay — and the one DataFlow will never acknowledge directly.

After sending initial verification emails to your university or employer, DataFlow largely waits. They do not proactively follow up, do not make physical visits when emails go unanswered, and do not escalate cases that have been sitting idle for weeks. Their support team responds to your tickets with variations of the same copy-paste message:

“We are working hard to complete your verification.” “We appreciate your patience during this process.”

No specific timelines. No explanations. No real solutions.

What to do: Do not wait silently. Raise a support ticket every 3 to 4 days if your verification is stalling. Mention any specific deadlines you are facing — exam dates, job start dates, visa timelines. Consistent pressure is the only thing that moves stalled cases forward.

DataFlow Costs: The Complete Breakdown

Typically, across most licensing authorities, the following are the expected expenses and fees associated with the application and verification process. The fees presented here represent an average overview and may vary slightly between different licensing authorities. However, the variations are generally minimal, providing you with a reliable rough estimate.

Report Transfer Fee

  • Cost: Around AED 350 (approximately ₹8,000-8,500)
  • Processing time: Around 15 days
  • What it is: If you’ve already done DataFlow for one country and want to transfer it to another

Full Package Costs (Fresh Application)

For General Practitioners (GPs) and Dentists:

  • Package cost: ₹30,000-35,000
  • Includes: 1 education certificate, 3 experience certificates, 1 registration certificate

For Nurses and Allied Health Professionals:

  • Package cost: ₹25,000-30,000
  • Includes: 1 education certificate, 3 experience certificates, 1 registration certificate

Additional Document Fees

If you need to add more documents beyond the package:

  • Additional fee per document: ₹8,000-13,000 (depending on which country you’re applying to)

The Hidden Cost: University Verification Fees

Here’s what most people don’t know until they’re already in the process—universities now charge their own verification fees, and DataFlow adds these costs to your total bill.

How much universities charge:

  • Average university verification fee: ₹3,000-5,000 per degree
  • Some universities charge: ₹1,000-8,000
  • Even central government universities charge these fees now

Why this matters financially:

Let’s say you’re a specialist (like an Endodontist) applying for your specialist license:

  • DataFlow package: ₹30,000
  • University verification fee (for your master’s degree): ₹2,000-₹5,000
  • Additional education certificate fee (if verifying bachelor’s too): ₹13,000
  • University verification fee for bachelor’s: ₹5,000

Total cost: Around: ₹50,000- ₹53,000 – that’s a huge jump from the quoted ₹30,000!

My honest opinion: Universities have turned verification into a business. Ten years ago, very few universities charged verification fees. Now, almost every university—including government institutions—charges ₹3,000-5,000 just to verify your degree.

What frustrates many people is that you’re already paying DataFlow ₹30,000-35,000. Logically, DataFlow should handle university payments from this amount as part of their service. Instead, they pass the university fees directly to you as additional charges.

Money-Saving Tip for Specialists

If you’re a specialist (Endodontist, Orthodontist, Periodontist, etc.) and applying for a specialist exam, here’s something important:

The licensing authority only requires your master’s degree verification since you’re applying for a specialist position, not a general dentist position.

What this means:

  • You can skip verifying your bachelor’s degree (BDS) if your budget is tight
  • This saves you: ₹13,000 (additional document fee) + ₹1,000-₹5,000 (university fee) = ₹14,000-₹18,000

Should you skip the bachelor’s verification?

Skip it if:

  • Your budget is very tight
  • You’re only planning to work as a specialist
  • The licensing authority explicitly doesn’t require it

Verify both if:

  • You can afford it without financial stress
  • You want complete documentation for future flexibility
  • You might switch between general and specialist positions later

It’s always better to have both degrees verified if budget isn’t an issue, but if you’re watching every rupee, focus on the master’s degree since that’s what qualifies you for specialist licensing.

DataFlow Pro (Premium Service)

  • Extra cost: Around ₹15,000 on top of the regular package
  • Promise: Faster verification
  • Reality: They often blame universities or employers for delays anyway, making this service questionable value for money

Can You Transfer DataFlow Reports Between Countries?

Yes! This is one of the best features. Your DataFlow report is transferable from one Gulf country to another.

How it works: Let’s say you complete DataFlow for DHA (Dubai). After the process is complete, you can transfer the report to Oman for an additional fee of AED 350. Once transferred, both reports remain valid for their respective authorities.

This is incredibly useful if you’re considering multiple job opportunities across different Gulf countries. You don’t have to start the entire verification process from scratch—just pay the transfer fee and you’re good to go.

Important note: Each authority gets its own valid report after transfer. Your original report doesn’t become invalid when you transfer it.

DataFlow Validity Period: How Long is Your Report Good For?

Official validity: DataFlow reports are generally valid for 10 years.

Real-world scenario: Your employer might ask you to update your recent experience on the DataFlow report, especially if:

  • Your current report doesn’t include recent work experience
  • You haven’t updated your report for a long time
  • The licensing authority requires current experience verification

So while the report technically lasts 10 years, you might need to add recent experience certificates depending on your employer’s or the licensing authority’s requirements.

The Harsh Reality: DataFlow Customer Support

Let me share the uncomfortable truth about dealing with DataFlow support that most articles won’t tell you:

How to Contact Support

DataFlow has a support portal where you can raise tickets by signing up. That’s pretty much your only option now. They’ve removed:

  • Contact details of senior officers from their website
  • Live chat support (which they used to have)
  • Direct phone access to anyone who can actually help

Response Time

DataFlow support is very slow, but they do reply eventually—usually within 24-48 hours.

Quality of Support

Here’s the problem: their replies are essentially useless. If you’re asking why your verification is taking so long or requesting them to expedite the process, you’ll get copy-paste responses like:

  • “We are working hard to finish your verification and provide your report.”
  • “We are dedicated to finalising your report.”
  • “We appreciate your patience during this process.”

They never provide specific timelines, explanations, or real solutions. It’s frustrating because you’ve paid a significant amount and feel trapped with no options except to keep waiting.

The DataFlow Premium service

Their premium service charges an extra ₹15,000 with the promise of faster verification. But when they fail to deliver within the promised period, they blame the university or employer for slow responses.

Many people suspect DataFlow strategically delays standard verifications to encourage more people to purchase the Pro service. Before, you could escalate issues to senior officers or use live chat. Now, those options are conveniently unavailable.

What About Complaining to Licensing Authorities?

Even if you reach out to the licensing authority (DHA, SCFHS, etc.) to complain about verification delays, they typically ignore the issue. Since DataFlow verification is mandatory across all Gulf countries, you’re essentially stuck with no alternative.

My Practical Tips After Going Through This

Tip 1: Keep Raising Tickets

Don’t just submit your application and wait silently. If your verification is taking longer than expected, keep raising support tickets and push the DataFlow team to complete it. If you don’t raise issues consistently, they won’t prioritise your case.

Tip 2: Hope for Reputable Institutions

If you have a reputed employer (like a well-known hospital) and graduated from a reputable university, there’s a good chance they’ll complete your verification within a month. These institutions usually have proper systems for responding to verification requests.

Tip 3: Contact Your University Proactively

Don’t wait for DataFlow to figure things out. Contact your university’s registrar’s office directly and inform them that DataFlow will be reaching out. Some universities need a formal authorisation from you before releasing information.

Tip 4: Budget More Time Than You Think

Even though DataFlow says 25 days, plan for 2 months. This way, you won’t miss exam deadlines or job opportunities due to unexpected delays.

Tip 5: Join Communities for Real Support

Keep copies of everything—your DataFlow report, submitted documents, payment receipts, case number, and support ticket responses. You’ll need them at various stages.

More importantly, join online communities where healthcare professionals share their experiences. Our expert has helped hundreds navigate DataFlow issues that official support won’t address. Facebook groups and WhatsApp communities for DHA/DOH/SCFHS aspirants are also incredibly helpful for real-time updates and moral support.

Tip 6: Get Expert Help When You Need It

Registering for PROMETRIC After DataFlow

Once you have received your DataFlow report, the next step is to register for your exam through the appropriate testing partner. The process varies depending on your licensing authority and the country:

Identify the Testing Partner:

  • Licensing authorities like DHA (Dubai), Saudi Arabia, Qatar, and others typically use Prometric.
  • Oman has transitioned to Pearson VUE for OMSB exams, so you must create an account on Pearson VUE for Oman.

Registering and Scheduling Your Exam:

  • Create an account on the designated testing portal (Prometric or Pearson VUE), depending on your licensing authority.
  • Check for available seats at test centres near your location.
  • Select your preferred test centre and exam date.
  • Make the payment to confirm your booking.
  • You will receive a confirmation email once your registration is successful.

Note: On the exam date, visit the chosen test centre with your confirmation email copy and passport.

What If You Get a Discrepancy?

If DataFlow finds any discrepancies in your documents, don’t panic. You have one more chance to claim re-verification with solid evidence for free.

Important deadline: You must submit your re-verification request within 90 days of receiving the discrepancy report.

What you need: Provide clear, documented evidence that addresses the discrepancy. This might be additional certificates, clarification letters from your university, or corrected documents with proper attestation.

The verification process will start again, but at least you’re not starting completely from scratch.

Common Problems People Face (And Real Solutions)

Problem 1: The University Has No Proper Verification System

Many universities, especially in developing countries, don’t have streamlined processes for responding to third-party verification requests.

Solution: Visit your university in person if possible. Speak to the registrar and provide them with DataFlow’s contact information. Sometimes a personal visit moves things faster than emails.

Problem 2: Previous Employer Has Closed, Merged, or Is Unreachable

If you worked for an employer that no longer exists independently—due to closure, merger, or if they are unreachable—DataFlow may face difficulties verifying your employment.

Solution:

  • Contact the parent organisation or the entity that acquired the hospital or clinic where you worked. Request a letter confirming your employment history.

  • If the previous employer is unresponsive or the company has closed, provide alternative solid evidence to support your case, such as salary slips, attendance records, employee ID cards, or even event pictures showing your association with the employer.

  • Submit these documents proactively to DataFlow through a support ticket to help process your verification efficiently.

This approach helps overcome verification challenges when dealing with closed or merged employers.

Problem 3: No Updates for Weeks

Your status page hasn’t changed in a month, and you’re getting generic responses from support.

Solution: This is tough because there’s no magic fix. Keep raising tickets every 3-4 days. Be polite but persistent. Mention any deadlines you’re facing (exam dates, job start dates). Sometimes, consistent pressure gets you moved up in priority. You can also seek guidance from experienced professionals who know how to escalate effectively.

Is DataFlow Pro Worth the Extra Money?

Based on numerous experiences, here’s my honest assessment:

When it might be worth it:

  • You have strict deadlines (job offer with a start date)
  • Your university is known for fast responses
  • You’re willing to pay ₹15,000 for potential peace of mind

When it’s probably not worth it:

  • Your university is slow or unresponsive (Pro won’t fix this)
  • You have 3-4 months before you need the report
  • You’re on a tight budget

The reality is that DataFlow Pro doesn’t change the fundamental bottleneck—your university’s response time. If your university takes 6 weeks to verify credentials, DataFlow Pro can’t magically make them respond in 2 weeks.

Final Thoughts: Surviving the DataFlow Process

Look, I’m not going to sugarcoat this—the DataFlow process is frustrating. Their customer support is poor, their transparency is lacking, and you often feel helpless after paying significant money.

But here’s the thing: it’s mandatory. Every healthcare professional wanting to work in the Gulf has to go through this. The system isn’t designed for convenience; it’s designed for thorough credential verification, and that takes time.

My advice for maintaining your sanity:

  1. Start early—give yourself 3 months minimum
  2. Stay organized with a checklist and document tracker
  3. Be proactive with your university and employers
  4. Keep raising support tickets if things are delayed
  5. Don’t pay for Pro unless you have a specific reason and extra budget

Remember, thousands of healthcare professionals complete this process every year. Yes, many of them complain about delays and poor support. Yes, many of them feel frustrated. But they all eventually get their reports and move forward with their Gulf careers.

The key is realistic expectations. Don’t expect smooth sailing or excellent customer service. Expect delays, generic support responses, and some bureaucratic frustration. When you’re mentally prepared for this, the experience feels less overwhelming.

And once you get through this? You’re on your way to working in some of the best healthcare systems in the region, with tax-free salaries and excellent career opportunities. The temporary frustration is worth the long-term reward.

You’ve got this. Stay patient, stay persistent, and keep your eyes on the goal.

Frequently Asked Questions

Can I take the PROMETRIC exam before completing DataFlow?

It depends on which country. For Oman and Qatar, yes—you can schedule the exam without DataFlow. For Dubai and Bahrain, you can get an eligibility number without DataFlow. For Saudi Arabia and Kuwait, DataFlow must be completed before exam registration.

How long is the DataFlow report valid?

DataFlow reports are generally valid for 10 years. However, your employer might request you to update your recent experience in your report, especially if it hasn’t been updated for a long time.

Can I use the same DataFlow report for multiple Gulf countries?

Yes! DataFlow reports are transferable between Gulf countries. After completing verification for one country, you can transfer the report to another for approximately AED 350 (₹8,000-8,500). Both reports remain valid for their respective authorities.

What if my DataFlow application shows a discrepancy?

You have one chance to claim re-verification with solid evidence. Submit your request within 90 days of receiving the discrepancy notice, along with proper documentation addressing the issue.

How much does DataFlow verification cost?

For GPs and Dentists: ₹30,000-35,000 for the standard package. For Nurses and Allied Health: ₹25,000-30,000. Additional documents cost ₹8,000-13,000 each. DataFlow Pro adds another ₹15,000. However, universities now charge their own verification fees (₹3,000-8,000 per degree), which DataFlow adds to your total bill. Budget for an extra ₹5,000-10,000 for university fees beyond the package cost.

Why is my verification taking so long?

The most common reason is slow university responses. Universities without proper verification systems can delay the process significantly. DataFlow often waits for responses rather than making physical visits, which extends timelines.

Is the DataFlow Pro service worth the extra cost?

It depends on your situation. If you have urgent deadlines and a responsive university, it might help. However, if your university is slow to respond, DataFlow Pro cannot force them to speed up, making the extra ₹15,000 questionable value.

What can I do if DataFlow support isn’t helping?

Keep raising tickets consistently every 3-4 days. Be polite but persistent. Mention any deadlines. Unfortunately, DataFlow has removed direct contact with senior officers and live chat, so support tickets are your main option.

Do I need separate DataFlow verifications for DHA and DOH?

Not necessarily. You can complete DataFlow for one (say, DHA) and then transfer the report to the other (DOH) for the transfer fee. Both reports will be valid for their respective authorities.

Do I need to verify both my bachelor’s and master’s degrees if I’m a specialist?

No, not necessarily. If you’re applying for a specialist position (like Endodontist, Orthodontist, etc.), the licensing authority typically only requires your master’s degree verification. You can skip the bachelor’s degree verification to save around ₹18,000 (₹13,000 additional document fee + ₹5,000 university fee). However, if budget isn’t an issue, it’s better to verify both degrees for complete documentation and future flexibility.
